FAQ

Where are the search indexes?

Starting with version 3.3, iVerbum places all indexing files within the "HOME/Library/iVerbum" folder. Your data folders are not affected.

Do the search indexes take up a lot of disk space?

No: They are efficient especially compared to graphics, audio, and even XML files. Their disk space is really inconsequential compared to the efficient use of your time.

Can I get rid of the old auxiliary files that were used for iVerbum 3.2 and earlier?

Of course: You can select these files from the file tree and remove them with the Utilities > Remove All Auxiliary Files > From iVerbum 3.2 and Earlier commands.

What is the best way to organize my search folders?

That is personal, of course. But here are some suggestions:

First, their are generally two types of collections of data:

  1. One being reference work that you rarely change apart from adding more files, etc.
  2. The other being personal work that may be projects, a thesis, publications, legal drafts, etc.

Its often advisable to set up these collections of data fairly independently. Do not use iVerbum rashly on major, all-encompassing folders such as your Home or Document folder. (iVerbum even has some built-in limitations preventing such misuse.)

But there is no problem in having iVerbum project folders which also contain graphics, spreadsheet, InDesign or other files. iVerbum could be your workhouse regarding the RTF, DOC, PDF, etc.; and should be configured (see Preferences: Import Options) appropriately.

What is the best way to get started?

Work through the Quick Start first. MAKE SURE that you dragged the iVerbum folder into "/Applications" and NOT the "HOME/Applications" folder.

 

TROUBLESHOOTING

Incorrect Search Results:

First try re-indexing: Select the folder and give the Search > Index Selected Folders command.

If that doesn't work, remove the auxiliary files (select the folder(s) and give the Utilities > Remove All Auxiliary Files > For Selected Folders command (as described in "Crashes on Searching" below).

File Tree does not load some data:

First, try removing all Auxiliary Files, reload the folder, and re-indexing as described in "Crashes on Searching" which is given below.

iVerbum has been proficient at loading RTF, RTFD, DOC, PDF, HTML, TXT, and Webarchive files. It also tries to filter out files that will certainly be a problem (e.g., mp3).

However, if you have trouble loading a Root Folder, check out the files being loaded. Are you allowing files of any extension or without an extension?

If you can isolate a problematic file, please send us a copy of the file so we can try to fix the problem.

Crashes on Searching:

Select the problematic folders and execute the Utilities > Remove All Auxiliary Files > For Selected Folders command.

Reload the selected Folders with the Items > Reload Selected Folders command.

Re-index the selected folders with the Search > Index Selected Folders command.

iVerbum crashes on startup:

iVerbum is probably having trouble loading the default Index Set that is always stored in Preferences when you quit:

Double-click on "/Applications/iVerbum/Blank Index Sets.iVerbum" to open iVerbum and force-load an Index Sets File which does not contain any Index Sets.

Execute the Utilities > Remove All Auxiliary Files > For Folders and Subfolders… command and select the problematic folder(s) with the ensuing dialog box. (Note that this command enables you to remove auxiliary folders even if they are not loaded onto the File Tree.)

Then create an Index Set or load a different Index Set with the Search > Open Index Sets… command.

Known Unresolved Issues:

Occasional (uncommon) crashes upon working with some PDF files.
